Private Events Manager

Summary: The Events Manager is responsible for facilitating the rental of the event spaces at Guggman Haus Brewing Co. They will manage all incoming inquiries and bookings through Tripleseat Event Management platform, and act as the main point of contact for all private event clients and rental inquiries while overseeing all details for each booked event. This role will oversee the actual event itself, as needed. We are seeking a candidate who is extremely organized, over-communicative and is able to manage the logistics of multiple events simultaneously as well as the entire sales process for incoming inquiries. The main areas of the facility that this role entails include rentals of the FestHall, Boyle Racing Shop, and The Haus, and Monday buy-outs.

DUTIES & RESPONSIBILITIES

Oversee all aspects of sales, event details, coordination and management of private events held at Guggman Haus Brewing Co.

Represent Guggman Haus Brewing Co. and the Events Program in a positive light, building a professional and respected reputation in the community

Ability to multi-task and manage several inquiries, bookings and details at the same time, so as not to double book and to uphold the integrity of each and every event.

Over-communicate and work closely with entire Guggman team

Opportunity to plan revenue-generating Guggman Haus private events and assist in planning some of the taproom’s signature events as well, as needed

Sales/Booking Events:
-
Manage and follow-up with all booking inquiries within our Tripleseat Event Management platform and understand the emphasis on filling out our bookings calendar

Demonstrate ability to negotiate pricing as needed to fit both the business and client needs

Create and manage all rental documents including (but not limited to): Event Contract, Catering Orders, Event Overviews, Client Invoices and COIs

Create accurate and reliable financial reports/invoices and collect payments and paperwork on time

Proactively promote event spaces and seek to maximize rental opportunities, may attend offsite event(s) for marketing purposes

Create re-booking partnerships with corporate clients, and seek creative uses for the event space outside of normal business: morning bookings, day-long retreats, studio-style rentals

Coordinate booking calendar with GM and management team to ensure calendar is blocked for large taproom events and other days as needed.

Event Details:

Coordinate with guests regarding all event details and needs, and maintain professional and personable communication with clients to assure all event needs are met

Address potential problems that may arise and adjust event details as needed while planning for potential scenarios that could impact the integrity of the event

Other duties include working with third party vendors for onsite events, taking catering order from client and creating Event Overview with all details of event for team communication

Communicate and coordinate all event details to General Manager, Kitchen Manager and Event Staff to oversee all event set-up, tear down, and follow-up processes as needed
Day-Of Event:
-
Ensure the room is prepared for events based on client needs, including clean linens, table setup, AV, welcome board, etc.

Act as day-off main point of contact for large events and kick-off event, as needed, while using the Taproom Event Team as support

Conduct final inspections on the day of the event to ensure everything adheres to the client’s standards, as needed

Assess the event’s overall success and work to improve upon processes as needed
REQUIREMENTS:

Preferred Experience in Tripleseat Event Management software
-
Efficiency and experience in Google Documents & Quickbooks
-
Availability to work evenings and weekends
-
Minimum 3 years event management experience

Bachelor’s Degree
-

Standard Hours: Monday-Friday 9am-5pm + weekends/evenings, as needed for onsite presence during events with ability to work partly remote.

PHYSICAL DEMANDS:
While performing the duties of this job, the taproom team member must be able to stand, walk, lift, and bend for long periods of time, sometimes in tight spaces. They must be able to exchange accurate information with other individuals in the office and taproom floor. They must regularly lift, push, pull, and/or move up to 50 pounds.
WORK ENVIRONMENT:
While performing the duties of this Job, the individual is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually high. The individual must be able to work in an environment with frequent temperature changes.
